How to manage breeding inquiries and set clear communication expectations

Between traveling to dog shows, managing whelping litters, attending reproductive veterinary clinics, and daily kennel duties, ethical breeders lead intensely demanding lives. When a match inquiry arrives on BreedBuddies, you may not always be in a position to compose an in-depth response immediately.

Setting clear communication expectations helps protect your time, reduces back-and-forth friction, and ensures fellow breeders understand your availability.

1. Using Availability Controls & Profile Notes

The most effective way to manage incoming inquiries is proactive profile management:

  • Toggling Inactive Status: If your stud dog is resting, taking a recovery break, or booked for upcoming commitments, set his profile status to Inactive in your dashboard. This temporarily removes the dog from active match queues without penalty or reactivation fees, preventing untimely inquiries.
  • Kennel Bio Updates: Use your breeder profile bio to communicate current operational status (for example: "Traveling to the National Specialty Dog Show from Thursday to Monday; match messages will be reviewed upon our return on Tuesday").
  • Clear Visiting Bitch Requirements: State your prerequisite health testing (such as required ACES eye clearances, CHS scores, or progesterone blood testing) directly in your dog profile text so inquiring owners know what information to supply upfront.

2. Professional Quick-Response Templates

Once direct contact and messaging are unlocked following mutual match approval, having prepared quick-response templates allows you to acknowledge messages promptly from your mobile device:

Template A: Standard Acknowledgment & Evening Review

"Hello [Breeder Name]! Thank you for your message regarding [Dog's Name]. I have received your inquiry and will review the pedigree details with my co-owners this evening after kennel duties. If your inquiry is time-critical regarding an active heat cycle, please share your dam's current serum progesterone reading (nmol/L) so we can assess timing. Speak soon!"

Template B: Traveling to Shows / Field Trials

"Hi [Breeder Name], thank you for reaching out! Our team is currently traveling and competing at the Specialty Dog Show with limited phone reception during ring hours. We will review your match details and get back to you by [Day/Time]. Thank you for your patience!"

Template C: Active Whelping / High-Demand Nursery Period

"Thank you for contacting us! We currently have a newborn litter in our nursery requiring round-the-clock maternal attention. Non-urgent breeding inquiries will be reviewed within 48 to 72 hours. We appreciate your understanding and support for hands-on, ethical canine welfare."

3. Courteous Follow-Through

If after reviewing a prospective mate's clearances or pedigree you determine that the pairing is not suitable for your breeding goals, always send a prompt, professional note declining the request. Maintaining collegiate goodwill within the close-knit Australian breeding community fosters long-term trust and collaborative opportunities.
